Cancellation Policy

Any jobs that have been confirmed and booked are considered billable in their entirety at the time of confirmation by the hirer.
Cancellations after this point of either the entire job, or individual components of the job will be charged at 100% full rate if cancelled within 48 hours of the job start time / 50% rate if cancelled within 72 hours of the job start time.
All weekend job start times are considered to be the Friday at 10:00am.

 

Minimum Package Hire Policy

Deluxe Backline provides professional-grade equipment and support for live events, touring and productions. To maintain this standard, we operate on a package-based hire model with a minimum hire fee of $400.

Every hire — regardless of size — requires the same preparation, testing, quality control, logistics, and administration. Single-item or ad-hoc hires involve the same handling and care as larger packages, without the scale required to support these processes sustainably.

For this reason, single-item hires to the general public are no longer offered.

Discretion may be applied on a case-by-case basis where appropriate.

 

Covered Stage Requirement Policy

Deluxe Backline supplies professional-grade musical and staging equipment that is designed to operate in controlled, protected environments.

For all outdoor events, a fully covered stage is a mandatory requirement.

Our equipment is vulnerable to damage from:

• Rain and moisture, including light rain, dew, and sudden weather changes
• Direct sunlight and extreme heat, which can cause:
  • Electrical failure
  • Warping or cracking of timber components
  • Damage to drum shell finishes, cables, and electronics
  • Accelerated wear that may not be immediately visible

Even brief exposure can result in permanent damage or safety risks.

Minimum requirements
To proceed with hire, the event must provide:

• A fully weatherproof stage with overhead cover and rear protection
• Protection from direct sun exposure to all equipment and performers
• Adequate, dry, and secure storage for all equipment cases while equipment is on stage
• Protection in place for the entire duration of bump-in, event operation, and bump-out
• Umbrellas, pop-up gazebos, or partial shade structures are not acceptable unless purpose-built for staging and approved by Deluxe Backline in advance.

If requirements are not met
If a compliant covered stage and case storage cannot be provided:

• Deluxe Backline may decline to supply equipment, or
• Equipment may be supplied entirely at the client’s risk, subject to:
  • A signed damage liability agreement
  • Full financial responsibility for any damage, loss, or premature wear
  • Possible additional fees or bond

Weather-related decisions
Deluxe Backline reserves the right to delay setup, suspend operation, or remove equipment if conditions become unsafe or damaging at any time.

 

Occupational Health And Safety & Insurance

Be assured that we are fully compliant with current legislation and are experienced at dealing with safety requirements and documentation as required by venues and event managers.
Our safety record is exemplary. We have never lost a single man-hour due to event related accidents.
We have $20M Public Liability Coverage, additional $20M Third Party Property Insurance for our motor vehicles, and all work is conducted COVID-Safe. We have implemented COVID-Safe prep and deprep practices, and contactless delivery services are available if required.

Artist Discounts/Endorsements:

In collaboration with our industry partners, due to the rising costs in running all aspects of a Small/Medium Business, we have made some changes to our hire pricing policies for Artist Discounts/Endorsements.

Single-Day hires are not applicable for Artist Discount.

Multi-Day/Touring hires are applicable for discounts on a sliding scale (from 20% to 40% depending on the length of the booking).
